Transaction Coordinator for a High-Powered Real Estate Team

The Transaction Coordinator acts as a liaison between the real estate agents, clients, lenders, inspectors, appraisers, and attorneys, ensuring that all necessary documents and tasks are completed within the required timelines.

They are responsible for ensuring that all parties are informed of important deadlines, tracking the progress of the transaction, and resolving any issues that may arise. The Transaction Coordinator plays a vital role in ensuring a smooth and efficient real estate transaction process, ultimately leading to successful closings.

Primary Objectives – What are the major objectives or outcomes to be accomplished by the person in this job?

  • Operations of systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Create and maintain an operations manual that documents all systems and standards
  • Keep the Team informed regarding any problems or issues that need to be handled o Predict and prevent issues before they arise within the real estate transaction and daily operations

  1. Primary Objectives – What are the major objectives or outcomes to be accomplished by the person in this job?
    • Prospect for buyer leads, convert leads to appointments, close for agreements, and conduct high-level fiduciary needs analyses
    • Select homes that meet clients’ needs, identifying homes that best meet those needs, refining needs, and closing to contract offers
    • Consult with clients to ensure fiduciary service of the real estate transaction from initial contact through contract to close
    • Effectively negotiate, or oversee negotiations, for all buyers
    • Develop expert knowledge regarding mortgage financing, neighborhoods, schools, and all homeownership issues

    • Oversee all aspects of buyers’ transactions from initial contact to contract to close

  5. Job Requirements Experience, Training, and Education
    • Bachelor’s degree in business administration (BBA) preferred, not necessary
    • Colorado real estate license preferred but not necessary to be a candidate. A license is required by date of joining the Team.
    • 1–3 years of industry and sales experience preferred
    • 1–3 years of customer service experience preferred

Narrative:

The Buyer Specialist is an individual who is highly sociable, draws energy from working with people, and is optimistic and outgoing. They have a strong sense of urgency, but not at the expense of quality.

The Buyer Specialist prospects for leads daily, closes those leads to appointments, closes for agency agreements, and then conducts a high-level fiduciary needs analysis. At that point, the Buyer Specialist will select homes that meet the criteria and will drive the clients to the homes. That person will refine the criteria and close for contract offers. At that point, the Buyer Specialist will negotiate the offer, write the contract, and oversee the deal through its close.

In addition, he/she demonstrates on a daily basis the knowledge, attitudes, skills, and habits of a high-achieving buyer agent who is committed to putting clients first, to doing the right thing, and to seeking win-win agreements.

The Buyer Specialist will command a non-traditional work schedule (when appropriate) and be available to work evenings and weekends if and when necessary.

The Buyer Specialist will demonstrate a commitment to learning and strive for growth by regularly attending courses, teaching courses when appropriate, and regularly practicing scripts and dialogues.
